Meeting Venues in Koh Samui: Rooms for 10 to 100

A group of forty meets on Koh Samui in a resort function room. The Great Room at W Koh Samui seats 80 theatre-style, the Banquet Hall at The Ritz-Carlton, Koh Samui seats 96 for dinner, and the Regency Ballroom at Hyatt Regency Koh Samui takes up to 150. Up to about twenty people, a private villa estate works better, and above a hundred and fifty the choice moves to Bangkok or Phuket.

We place meetings on the island for companies through our Corporate House, and this page sets out where each size of group fits, the rooms we use and what we confirm before we put one in a proposal. Capacities below are the venues' own published figures unless we say otherwise, and we check every one with the hotel in writing for your dates and layout.

Ten to twenty people

Small leadership teams and boards meet best in a private estate. The whole group sleeps under one roof, the sessions run in the living room or an open pavilion, and lunch is laid on the same terrace an hour later.

The large estates sit on the hillsides above Choeng Mon and Chaweng Noi and along the quieter west coast. A house like those at Samujana, above Choeng Mon, runs to six and eight bedrooms, which seats a board of ten with room to spare.

Before a villa hosts a meeting, we sit in the room at the hour the session will run, to see where the sun falls and whether the space can be darkened for a screen. We test the wifi on a video call with several devices connected. We ask whether the house has backup power, since storms can cut the supply for an hour or two. We bring a screen or projector, a flip chart, extension leads and a speaker for anyone dialling in.

Twenty to eighty people

Past twenty people, a resort with a dedicated meeting room is the practical choice. The room is air-conditioned, the screen and microphones are already installed, coffee breaks arrive on time and the group can sleep in one building.

The Great Room at W Koh Samui, on the north coast at Maenam, is 109 square metres. Marriott publishes it at 80 theatre-style, 40 classroom-style and 50 for a banquet. The resort is all pool villas, which suits a senior team that wants its own space after the sessions.

The Ritz-Carlton, Koh Samui, on the north-east tip near Choeng Mon, has eight event spaces totalling 576 square metres. The largest, the Banquet Hall, is 184 square metres and holds 120 for a reception or 96 for a banquet dinner. The smaller rooms, from 28 square metres, give a group its breakout space without leaving the building.

Anantara Lawana, a partner of ours on the calm northern stretch of Chaweng, has a ballroom and smaller function rooms. Published listings put the ballroom at about 240 square metres and 220 theatre-style; we confirm the current layouts with the hotel before quoting them. It is a few minutes from the airport and close to the restaurants of Chaweng, which matters for a group with free evenings. Our spotlight on Anantara Lawana covers the resort in full.

Eighty to 150 people

For a full company meeting, we start with the Regency Ballroom at Hyatt Regency Koh Samui in North Chaweng. Hyatt lists it at 190 square metres for up to 150 guests, and it divides into two rooms, so the same space can hold a plenary in the morning and two breakouts after lunch.

Dinners for larger numbers move outdoors. The Ritz-Carlton's two private beaches take gatherings of up to 300, and most of the large resorts can set a lawn or beach for a gala dinner. Outdoor events on Samui need a wet-weather room held in reserve, and we book that room alongside the beach as standard.

Layout, daylight and other events

The Great Room at W Koh Samui holds 80 in theatre rows and half that at classroom desks, so a group of forty that needs tables and laptops fills it. We ask how the sessions will run before we shortlist a room, since a keynote, a workshop and a board meeting each need a different layout.

Some function rooms have no daylight, which suits a long screen session and tires a group by the second day. We look for a room with windows, or a resort with a terrace or pavilion where the shorter sessions can run outside in the cooler morning hours.

Samui's resorts are busy wedding venues in the dry season, and the music and speeches from a ceremony on the lawn carry into a meeting room nearby. We ask for the venue's event diary for our dates, and where a wedding is booked we move the session or the room.

A villa and a resort together

For larger groups we often book a resort and a villa together. The wider team stays at the resort with its function room, and the leadership group takes a villa estate close by for a strategy session the day before the others arrive, or for a board session at the end. The north-east coast suits this best, because Choeng Mon, North Chaweng and the hills above them are all within about fifteen minutes of each other and of the airport.

The south-west coast around Taling Ngam has quiet, secluded resorts and is the furthest part of the island from the airport. We use it for smaller, senior groups who will stay put for the week, and keep the larger meetings on the north-east side.

When to book the room

The driest months on Samui run from late December to April, and that is when function rooms and the bedrooms around them go first. Resorts usually tie meeting space to a block of bedrooms, so we hold both at once, six months ahead for the dry season and about three for the rest of the year.

October and November are the wet months, and we steer outdoor programmes away from them. For UK companies, a meeting in January to March falls in the island's dry season. Teams from Dubai and Doha escaping the summer will find July and August mild here, around thirty-one degrees. Our guide to the best time to visit Koh Samui goes through the year month by month, and the flights for a group from London are in getting to Koh Samui from the UK.

Around the meeting

Our guide to planning a corporate retreat in Koh Samui covers the four-day shape we build around the sessions, and the wider island is in our Koh Samui guide. For the free afternoon we arrange a private boat into Ang Thong marine park, and for the last night a private chef at the villa.

Send us the group size, the months and how the sessions will run through the corporate enquiry form, and we will come back with two or three rooms that fit.

Questions about meeting venues on Samui

Where can a group of 40 hold a meeting in Koh Samui?

In a resort function room on the north-east coast or at Maenam. The Great Room at W Koh Samui seats 80 theatre-style and 40 classroom-style, the Banquet Hall at The Ritz-Carlton, Koh Samui seats 96 for a banquet, and the Regency Ballroom at Hyatt Regency Koh Samui takes up to 150 and divides in two. All three are within about twenty minutes of the airport.

How big are the conference rooms in Koh Samui?

The larger resort ballrooms on Samui run to about 180 to 240 square metres. Hyatt Regency Koh Samui lists its Regency Ballroom at 190 square metres for up to 150 guests, and published listings put the ballroom at Anantara Lawana at about 220 theatre-style. For a seated conference much above 150, Bangkok and Phuket have bigger hotel ballrooms.

Can a private villa in Koh Samui be used for a business meeting?

Yes, for up to about twenty people. A large staffed villa estate gives the group a living room or shaded pavilion for the sessions, one table for meals and no other guests. We test the wifi on a video call, check for a room that can be closed off and darkened, and confirm the house has backup power before we propose it for work.

How far ahead should we book a meeting venue in Koh Samui?

For a meeting between January and April, the driest stretch, we hold the room six months ahead. From May to September, three months is usually enough. Resorts usually tie meeting space to a block of bedrooms, so the function room and the rooms for the group are booked together.

Is there a convention centre in Koh Samui?

Samui has no dedicated convention centre. Meetings on the island take place in resort function rooms, ballrooms and private villas. Companies that need exhibition halls or a plenary for several hundred usually hold that part in Bangkok, then bring the group to Samui for the retreat days.
